Front Desk/ Receptionist

QUALIFICATIONS:
This position must have a sufficient mastery of English grammar in order to efficiently follow directions, relay information, as well as communicate with customers, vendors, and co-workers via phone and email. Typing skills as well as phone skills are essential.
Must have working knowledge of Microsoft Word, Excel, Outlook, and Windows 7. Knowledge of E2 and Discus is a plus.
Organizational proficiency and attention to detail is a must in this position. Must be able to keep track of various documents, stay on task and be able to prioritize day-to-day workloads.
The ideal candidate will be detail oriented, self motivated, able to work closely with all personnel and exhibits good time management skills. Possess the ability to be accurate and systematic in approach, even when rushed, maintaining a positive, cheerful attitude at all times.

DESCRIPTION:
The front desk is responsible for maintaining a professional and positive environment for the President/Vice President, customers, vendors and co-workers.
The nature of this position allows some access to confidential financial, business, and personal information. The position is responsible for maintaining proper discretion of this information. Must demonstrate integrity when dealing with sensitive and confidential material.
Must have dependable transportation for running errands, dropping off packages and parts to local vendors, and other tasks as assigned by management.
Be able to do normal office tasks such as filing, entering data and organizing.
Front Desk is also responsible for being able to assist others with questions on Customer purchase orders.
Must be able to problem solve when encountered with a difficult task or situation.

DESCRIPTION DETAIL:
Responsible for keeping track of Customer purchase orders and assuring that they are up to date, as well as inputting purchase orders into Excel and creating orders in E2.
Helping Accounting & HR with daily billing, as well as keeping a log of it.
Assisting Accounting & HR with matching up invoices to receivers from vendors and customers.
Answering phones and transferring them to the proper party. Greeting guests at the door, being sure they sign in to the guest register, escort and direct them to the proper person.
Keeping track of the gross Customer purchase orders, emailing them weekly to the President, Vice President, Sales Director and Engineering.
Keeping up to date with our customers Portal, making sure new purchase orders, date changes, new revisions and cancellations are taken care of promptly.
Putting together job routers proficiently with attention to detail. Updating travelers to new revisions in a timely manner. Breaking down closed books.
Renaming scans and filing them in the proper destination on the server. Take company meeting notes when required.
Help with production/shipping when necessary, doing things such as verifying material orders have been placed, running job books to the machinists and helping determine delivery/completion status on vendor purchase orders.

Regularly lift up to 30 pounds. Must be able to pass a random drug test. Must be a citizen of the USA or a legal resident alien.
